Your clinic

If you chose the Hospital edition, your ERP knows about patients, practitioners and appointments, and bills a visit the way a clinic does. This chapter follows one patient from the phone call to the paid bill.

Your first page

The page you land on is Clinic: Appointments today, Patients, Open encounters (visits started and not yet closed) and who is Admitted now, and the tiles for the daily jobs — New appointment, Register patient, Start encounter, Lab tests, Admit patient, Billing, Patients and the Appointments calendar. The daily brief sends the same figures every morning and lists today's appointments.

Who is who

RecordWhat it is
PatientThe person treated: name, mobile, date of birth, notes. Created once, reused for every visit. A patient is also a customer in the accounts, automatically.
Healthcare PractitionerA doctor, dentist, physiotherapist… with their schedule and their consultation fee.
Healthcare Service UnitA room, a chair, a bed — where an appointment happens.
ItemEverything you charge for: a consultation, a procedure, a lab test, a medicine. Set up as items with a price (press Ctrl+G, Item).

The practitioners and procedures and services templates on the Your data page (under Data & shop) load a whole team and a price list in one upload.

Booking an appointment

  1. New appointment: pick the patient (or Register patient first, or type a new name and create them on the spot), the practitioner, the date. Free slots appear from the practitioner's schedule; pick one.
  2. Save. The appointment is on the calendar and on tomorrow's brief.
  3. When the patient arrives, Check in on the appointment. When the visit is over, the practitioner records the Patient Encounter: diagnosis, notes, prescribed medicines and procedures.

Billing the visit

Billing makes a Sales Invoice for the patient. Use Get items from → Healthcare services to pull the consultation, the procedures and the lab tests of the encounter onto the bill in one go; add medicines from stock as ordinary items. Submit, then record the payment — at the desk with Payment Entry, or tick Is paid on the bill for a cash payment on the spot.

The bill prints as a Patient Bill: the patient and the practitioner at the top, the services as lines, VAT if you charge it, what was paid and the balance due — in both languages. If the company has a VAT number the bill is also a tax invoice.

Insurance: record the insurer as a Customer, and bill the insurer's share to them and the patient's share to the patient — two bills, one encounter. The Accounting basics chapter explains how receivables are followed up.

Medicines and consumables

Stock works exactly as in the Buying and stock chapter: a Purchase Receipt puts medicines on the shelf, batches carry expiry dates, the running out figure warns you, and a medicine on a bill leaves stock when the bill is submitted.

Who can see what

The admin user created in the wizard can do everything. Give a doctor the Physician role and a nurse Nursing User: they see patients, appointments and encounters, not the accounts. The Your team chapter shows how roles are given.

Patient records are personal data. Give access only to the people who treat patients, and keep the backups chapter's advice: your data is copied every night to the destination you chose.
